Creating a Perfect RFP (Request for Proposal) for Your Website
What is an RFP?
In simple terms, a Request For Proposal or RFP, is your request for a detailed proposal from one or more project vendors. But more importantly, it's an opportunity to put in writing your website needs, goals, vision and to tell potential vendors what specifically you need their help with.
An RFP allows you to describe what you need to change about your website, from specific tasks such as replacing static page updating with a content manager, to making the pages easier to navigate, to suggesting general design goals to make your site resonate with a specific audience or have your site more easily found by search engines.
Ideally, your RFP will include details about the following:
- An overview of your business or organization
- An overview of how the website is currently being utilized
- An overview of what your current website is lacking or what is not working well
- Your vision of what the website should be like
- Your expectations for what a proposal should include
RFP Samples
Here are two real examples of RFPs, which are in .doc format which you can use for developing your own Request For Quote.
The Basic RFP Sample is just that, a basic website RFP with minimal requirements defined.
The Complex RFP Sample is very detailed, with many website requirements and proposal evaluation criteria.
Do your homework first
Redesigning a website is more than giving the website a graphic "face lift."
Overhauling or redesigning your website is an opportunity to include additional features and capabilities and to fix what isn't working-including search engine optimization, poor navigation and a lackluster design that does not invite customers back.
Before drafting a simple RFP, meet with several staff members or fellow employees and make a list of what are the shortcomings of your current website. Ask everyone the following:
- What aspects of the website have customers and staff complained about?
- Is the website difficult or time-consuming to update?
- How does the website fit in with your current marketing plans?
- Are there new capabilities you would like the website to have such as polls, knowledge base or surveys?
Next, prioritize the your list into two groups. Group one would be, "Must have-that which we can't live without." Group two would be, "It would be nice if-things that will make our jobs easier."
Having your website Requirements grouped will make it easier to decide what items you're willing to budget for now, and what may need to wait for a later date.
In addition to talking to your staff, it is a good idea to ask your customers what they like or don't like about your website. Many great suggestions for improvements will come from those who use your website frequently, and it's a great way to show your customers you care enough about them to include them in your website redesign process.
Content Management
Most corporate websites tend to grow in size over the years a press release pages and customer service documents are added to the site, along with documentation, sub-pages and the like. If you have more than 50 pages in your website, keeping the site updated can be a real challenge, especially if you rely one person to make the changes for you or an IT department that doesn't want to be bothered with the website.
Having a built-in content management system or CMS as it is called, can be a great way to tame a wild beast of a website. Content management systems are great because they separate the text or content of a page from the page design, and use a database to "marry" content with design templates. Changing the look of the entire web site can be as simple as changing one or two template pages, instead of changing every single page in a "static" web site.
A CMS will also allow you to easily add pages through an Administration login, usually accessible via the Internet, so you can make changes from just about anywhere. If you have several people contributing content to your site, you can approve content before it's published, and without having to know anything about HTML or website design.
If you are redesigning your website anyway, and if a CMS makes sense, it may be worth adding this requirement to your RFP. Be sure to ask that all proposals included details regarding the application to be used for the CMS, as there are many different systems available including both commercial applications and open source applications.
Expectations for your vendors
An RFP is also your opportunity to discuss what your expectations are for a vendor, in terms of reviews, status updates, references and working on similar types of projects. If you are in a time crunch and need a major redesign of your site in a couple of weeks, your project may be better suited for a larger vendor who has some excess capacity.
Some questions to ask yourself would include:
- Are you expecting your website vendor to manage the project or will you provide some project management?
- Who will determine the project's time-frame for completion?
- Who determines what progress has been made throughout the project?
- What are the project milestones?
If you are expecting your website vendor to do all these things, make sure you state this in your RFP so potential vendors know what is expected of them when creating the budget for the project.
Honesty is the best policy
Leaving out vital or important project information and details from your RFP, to be purposely vague in describing a project in the hopes of getting more out of your project budget, will simply lead to a disaster.
This approach is really a waste of everyone's time.
Proposals based on vague RFPs are usually padded by the vendor to cover for many unknowns or assumptions. Vendors who win the project may try to always second guess the client or assume the client is not telling them all they need to know throughout the project, undermining the working relationship.
And, when additional requirements are discovered after a project has begun, someone will have to pay whether it's the client paying for additional hours or the vendor cutting corners in order to keep the project within a limited budget.
By providing as much detail as possible in your RFP, you are telling potential vendors that you take the project seriously, you value their time, and that you have a vested interest in the success of the project.
Vendor selection
Do not be afraid to include in your RFP what your criteria will be for the selection of a vendor.
Will the lowest price be the ultimate determination of who you select for your vendor? Will it be quick turnaround? Will your selection be based on a vendor's experience with organizations similar to yours? Or all of the above?
Consider a two-step process for selection. Often you will get several proposals with very different approaches in terms of website architecture and technical solutions.
After reviewing and choosing between a number of proposals, invite three of the strongest potential candidates in for an opportunity to meet with you and key people on your staff involved with the project.
Have your staff ask each vendor questions about their proposal, their methodology and how they will deal with problems that may arise.
Select the "right" website developer
While you want to work with someone who is technically competent and experienced, having good comunication skills and a good understanding of customer service will help your project to be successful.
If you are more comfortable working with a large company, great. If you prefer a smaller company where you work only with the principals of the company or the lead developer, look for a smaller company.
Be sure to check your vendor's references and that they have worked on comparable projects.

Advertising Pumps Up Your Business Image
We have emphasized in this column the critical importance for the small business marketer to identify and communicate with a very specific audience of customers. This process is known as target marketing and your objective is to aim for the "bulls-eye" every time you spend money on marketing.
Once you have started to gain attention for your new business through promotion, publicity and direct response marketing the careful use of advertising can greatly accelerate the rate at which you find and communicate with new sales prospects.
Advertising in its traditional form is the use of paid promotion in newspapers, magazines, radio and television. These media are designed to communicate with a wide variety of people all at the same time. This sounds very attractive to a new business looking to influence a lot of people quickly. However, you must realize that many of those who receive messages through these media may not be good prospects to buy what you are selling. They may have little interest in your category of goods or services. They may not have a compelling need to buy any time soon. Or they may not understand the value you offer.
As a result, of the 600,000 daily readers of the Chicago Tribune perhaps as few as 4,000-5,000 may be disposed to consider your product or service at the time you run your advertising. This seems like a very large number of prospects, but you should understand that they are very expensive to reach because the Chicago Tribune sets its advertising rates based on reaching more than 600,000 people each day. You will possibly connect with fewer than 1% of their readers on any given day but you pay for access to all of them.
The other major challenge in using traditional advertising effectively is that it is hard to attract attention if you don't repeat your message often. I would guess that there are more than 2,000 ads each day in the Chicago Tribune. What will cause the reader you want to stop and read your ad? Often it is their repeated reading of your ad that finally gets their attention.
Repetition costs money. For example, a 2 1/2" by 4" ad in the Chicago Tribune costs almost $500 per insertion. This is not a large ad when compared with the ads run by Best Buy, Sears and Wal Mart. If you run you ad just twice per week for three months, you are looking at an investment in excess of $10,000!
Another potential problem with running advertising is that people have become very suspicious of what advertising is trying to tell them. We have all heard radio or television ads for products whose performance seems too good to be true. And when we go to look for them in the store, they often turn out to be very disappointing. As a result, people who buy only from the message communicated by advertising often are not very loyal customers.
Where Advertising Does Work
Despite the potentially large cost and challenge to effectively impress the sales prospect, there are situations where traditional advertising can be very useful. Good candidates for using advertising are:
- Businesses that provide a product or service people know they need, such as bread or milk
- Products or services that are needed immediately, such as chain saws after Hufficane Andrew
- New products or services that are pretty easy to understand, such as a quick oil change
- Products or services where quality is easy to measure, such as typing.
What Advertising Can Do
To realistically invest in advertising you should be clear on what objectives it is good at achieving and what it is not so good at delivering. Among the positive results that advertising can produce are:
- Establish and maintain a distinct business identity
- Make your business look larger than it is
- Remind customers of the benefits of buying from you
- Encourage customers to buy more of what you sell
- Attract attention from new prospects
What Advertising Doesn't Do Well
Waiting to place your first newspaper or radio ads until you are desperate can cannot usually be expected to deliver:

- Solve cash flow problems

The Two Keys to Advertising Success
It is estimated that the average American sees more than 30,000 ads per year. On average, only one of nine well-designed ads is ever seen by those it was intended. And it usually takes three repetitions of an ad before it is remembered. The first key to advertising success is: Don't do it unless you are willing to make a longterm (one year at least) commitment. Even though you may become tired of seeing your ad month after month, don't be tempted to change a well-written ad because remember, it is new to some readers each month.
The second key to advertising success is to take your time in preparing the ad. With the growing sophistication of desktop publishing today, it is relatively inexpensive to design and layout an eye-catching ad (usually less than $500.00). The key to producing an effective ad is to start with your objectives. Use the Advertising Objectives Worksheet below to detail what you want the ads to achieve.

Designing an Advertising Campaign
You can use the following outline to proceed from the Advertising Objectives Worksheet to putting into action a winning advertising strategy. Proceed one step at a time to answer the following questions:
- What is the purpose of my advertising? Trv to relate the advertising goals to your company's sales goal for the next year. Be as specific as you can in indicating what percentage or dollar increase in sales you would expect.
- What can I afford to invest? It is common to set an advertising budget based on a percentage of the sales you wish to achieve, such as 5% of sales for the next year.
- What features and benefits do I want to communicate? Most of us can come up with product features pretty easily. But do you really understand the benefits to the customer in buying from you?
- Who is mv audience? Live surveys, focus groups and library research should be used to focus as tightly on your desired marketplace as possible.
- Who is mv competition? Acknowledge what your competition does well and try to do it a little bit better. Don't be hesitant to borrow from what works for others. Remember your prospects will determine the value you offer by comparing you with other suppliers of similar products.
- Do I need more information? Do you really understand your industry and how newcomers become known? Do you have a realistic view of the minimum marketing investment to make any impact?
- .Study media choices, request information and compare. Use the SRDS guides to consumer and business magazines to learn the names of places to advertise. Contact the publishers and ask for their media kits, which include their advertising rates. Go to the library and read over any magazine or newspaper that might be read by your prospects. What do ads in these media look like? Think carefully about how many readers you will pay for versus how many readers want what you have to offer.

Even though placing advertising can be quite expensive, help in producing a good ad can be very affordable if you look around your local area. Downsizing in recent years by advertising and public relations agencies has resulted in some very talented writers and designers starting their own home businesses helping other small businesses create winning ads. You can often find them thorough classified ads in local shopper papers or on bulletin boards at grocery stores or office supply stores.

one of my client ask me how much for total package for following items to design
anyone tell me current market price(for following items) please.........Logo Refinement: Print Version, Online/Web Version
Stationery:Letterhead, Continuation sheet, Business Cards,DL Envelope, C4 Envelope, C5 Envelope, Fax, Memo, label, Email Signature,
Marketing:Brochure (A4 nos.4),Folder,Leaflet(2pp DL),CD Label, Powerpoint Template(Standard Size),Rate card(A5/A4)

That "package" is called a "Corporate Identity."
Depending on the company, this work can cost from tens of thousands of dollars to hundreds of thousands.
I don't know you. I don't know your work or experience and I certainly don't know the client.
I wouldn't start the work for less than ten grand, but this price level may not be appropriate for you or your client. For example, if you have never done a "package" of this extent before and if you client is just some local small business trying to get started. But if this is some huge multinational corporate giant and you have the experience and chops (skills), even if you have never done a complet corporate identity before, they should expect to pay a LOT more. (general rule of thumb: The greater your impact your work has, the more people it is intended to reach, the higher the cost should be to do the work)
Figure out what your "hourly rate" is worth. Then, for this project, estimate how long it will take to do the work. Then DOUBLE it. It ALWAYS takes longer than you think it will. Trust me. The bigger the project, the more that can go wrong. Figure that, even if you only have to DO the logo one time, (in a vector graphic so it can be scaled up or down to any size) you STILL have to place it in the layouts for EACH of those documents and applications. It takes TIME to properly layout a business card. It takes time to place a logo and address and typeset an envelope, letterhead and all those other pieces of paper. It takes TIME to convert the logo and sig to a web version. It takes TIME to layout a brochure an burn a master CD.
And, with all this going on, the client is going to want approval steps, make changes and you'll have a certain amount of rework to do, based on his changes and to fix some of your own mistakes.
Especially in freelance graphic design, time really DOES equal money. Give yourself a generous time estimate and then, like I said, double it. THAT is how much you quote your client and how you structure your contract. (you BETTER get this down in writing, along with a firm deadline and payment structure, over yours and the client's signature) That way, if the client makes any MAJOR changes, you renegotiate the contract. (wouldn't you HATE to be 90% done and then the clients wants to change the logo?)
Most of my contracts are written as an hourly rate with my time estimate. Since I double my estimated time, I almost ALWAYS come in on time and under budget. That way, I often give the client the pleasant surprise of an invoice much lower than the price he expected and I still get paid for every hour I work. Everybody's happy.

How can customers determine good graphic design
It happens all the time to me. I get a phone call from someone who is after some graphic design sydney work and they then proceed to tell me wat they are willing to pay for some logo design or brochure design work that they need for their new business. In some cases and Im happy to say this is the exception rather than the rule, they try to bargain me down in price sighting the case that they have just spoken to a company who they found online who will do a logo for XXX amount of dollars. What they fail to realise or understand is that designing a logo takes time, dedication, reserach and skill to clearly communicate your business message in one identity. Hours upon hours are spent in the initial design phase as well as to/fro with the client to get the look and feel of the logo just right. If we were to spend the time that these people were willing to pay for the design then we would only be spending 2 or 3 hours on this project and the client would have a poorly designed logo that did not clearly articulate the business image.
This can also be said of the website design sydney scenario where people are willing to only part with a small some of money and then expect us to put in extensive hours to create a stunning web design for them. Its these unrealistic budgets and public attitudes about designers that really force the revenue out of the industry. remember its better to pay for a top quality design than put the money into a new office coffee table that only you and your staff with probably ever see.
